Analytics & Data Dashboard

This article explains how to use the Dashboard & Analytics features to understand your Clinic's activity.

The Analytics Dashboard and Analytics pages give Team Admins real‑time insight into:

  • Appointment volume, Booking methods, Cancellations and upcoming Schedule.

  • Treatment Note completion and Clients without Notes.

  • Client demographics and attendance patterns.

  • Revenue generated over the time frame.

From the Main Dashboard

In the Dashboard, Team Admins can view a general overview of your Clinic performance - including New Clients, Cancellations, Revenue and Online Bookings. You can also preview your Upcoming Appointments for the current and following week.

Further down on the Dashboard, the Analytics overview, provides a quick glance into how your Clinic is doing that week with regards to Prescriptions, Appointment and Revenue Trends and various other Performance aspects.

Team Admins can access a quick look at any pending Notes that still need completing.

The Analytics Overview also gives you insight into Team Performance. Here you can view the Revenue generated per Practitioner, as well as Appointments and Cancellation rates.

There is also the ability to View Detailed Reports at the top of the Dashboard, which is another way to access the Analytics page.

How to use the Analytics Dashboard

Another way to access Analytics is from the top menu.

In Analytics, you can use different date ranges to view your Analytical Data for a specified time period.

Appointments Analytics

Select Appointments from the Analytics page side menu. You will land on the Overview tab, which details Appointment Trends, Appointments by Practitioner and Appointments by Type.

Various Filters are available in the Appointments Analytics page, apart from the Dates filter. You can filter your search with Practitioners and Appointment Type filters.

From the Appointments Analytics page, you can navigate through the different tabs for Booking Methods trends, Cancellations and Upcoming Appointments.

Treatment Notes Analytics

The Treatment Notes Analytics module focuses on completion and gaps in your clinical documentation, displaying overall Completion Rate of Notes, as well as per Practitioner. The Completion Rate is determined by finalised versus total Treatment Notes.

Use the Clients without Treatment Notes navigation tab, to view Clients who have has Appointments, but where Notes are missing. Here, you can quick add Notes directly into the Client profile as needed.

The Clients without Treatment Notes section helps you identify Clients who have appointments but no corresponding Treatment Notes.​

Programmes Analytics

Within Programmes Analytics, there is a broad overview of Total Programmes Issued, and Total Unique Patients. The graph visually displays the overall trends for the selected date range.

Client Analytics

Client Analytics helps you understand who your Clients are and how they attend Appointments.

Available parameters include:

  • Demographics (Age) - including Most Common Age Group and Average Client Age

  • Gender Distribution

  • Visit Patterns - grouped into New Clients (1-2 visits), Regular Clients (3-10 visits) and Loyal Clients (10+ visits)

  • Schedule Analysis (to highlight your Peak and Quietest days of the week).

These insights can support staffing, scheduling and marketing decisions by highlighting key demographic and attendance patterns. If you are part of a larger Team account, these Analytics can also help you understand colleague activity, client engagement and financial performance over time.
