Managing Appointment Arrival Status and Past Appointment Handling

Appointment Status Options

You can update the status of an appointment to reflect its Arrival Status. This can be done either on the Diary page or from the Appointments Page within the Client's profile.

The available statuses are:

  • Scheduled: The appointment is booked but has not yet occurred.

  • Arrived: The client has arrived for their appointment.

  • Completed: The appointment was successfully completed.

  • No Show: The client did not show up for the appointment.

Updating the status helps keep your records accurate and allows for better client management.

Setting Arrival Status from the Diary

Navigate to Diary, and select the relevant Appointment.

Note the default Status is Scheduled upon booking the appointment. This is identified by the Calendar icon as above.

Use the Actions button to view the various "Mark As" Appointment Status options.

Now, you will see the Arrival status Icon in the Diary, displaying which status is set.

Setting Arrival Status within the Clients Profile

On the Appointments Page, you can mark the Arrival status for the relevant Appointment.

Handling Past Appointment Statuses

To manage all Appointments that have passed without Arrival Status updates, go to the Account >Appointments> Portal Settings.

Here, you will find settings for how Past Appointment Statuses should be handled automatically. Every night at midnight, Rehab Guru runs a system to update past Appointments based on your chosen setting. This ensures your records stay up to date without requiring manual intervention.

If no setting is selected, the system will leave past appointment statuses unchanged by default - the "Do Nothing" option.

Otherwise, you have two main options:

  • Mark as No Show: Appointments that were scheduled but not updated by the end of the day will be automatically marked as No Show.

  • Mark as Completed: Appointments that were scheduled but not updated will be marked as Completed.
