Set Up Your Team

Add seats, invite colleagues, set roles and decide how your team shares clients.

Setting your team up properly at the start means everyone works from the same clients, exercises and templates, without duplicating anything.

1. Add seats to your subscription

Go to Account, then Subscription, click View/Change Subscription and add the number of additional users you need. Admin users who don’t write notes or send exercises are free. See Creating and Managing a Team.

2. Name your team and invite colleagues

Go to Account, then Team, add your team name and save it. Then open Team members, click Add Member, enter each colleague’s email address and click Send invite. Each colleague needs their own Rehab Guru account before the invite will work. See Managing Team Members.

3. Give people the right access

On the Roles tab of the Team page, click New role to decide what each person can see and do. A free role, for example for a receptionist, doesn’t use a practitioner seat. See Creating Custom Roles for your Team.

4. Decide how you share clients

Choose between enabling and enforcing collaboration, share individual clients, and set up availability across locations. If you plan to enforce collaboration, switch it on before your team starts building content. Colleagues only appear in each other’s Diary once collaboration is enforced, and clients created before then can be shared all at once from Clients, then Options, then Bulk Actions. See Setting Up Collaboration for your Team.

5. Apply your branding to everyone

Turn on Enable master account branding on the Team details tab, so every programme and email carries your clinic’s look. See Configuring Branding and Styles.
