Setting up appointment resources

Learn how to set up rooms, beds and equipment your practice has in limited numbers, so two bookings cannot claim the same one.

A resource is something your practice has a limited number of. A treatment room, a plinth, a shockwave machine, a hydro pool. Once you require a resource on an appointment type, every booking of that type reserves one. When they are all in use, that time is blocked for the whole team, even for a practitioner whose own diary is free.

This is what you want if two clinicians share one treatment room, or if a single piece of equipment moves around the clinic.

Complete your business details first. Resources belong to your business profile. Until your business details are filled in, the Resources tab shows a setup prompt instead of the list.

Add a resource

  1. Go to Account, then Appointments.

  2. Open the Resources tab. Before you have added anything it reads No resources yet.

  3. Click Add resource.

  4. Give it a Name, for example Treatment room. Up to 120 characters.

  5. Set the Quantity: how many bookings can use it at the same time. One treatment room is 1. Four plinths is 4.

  6. Add a Description if it helps, for example ground floor, wheelchair accessible.

  7. Click Add resource.

Limit a resource to certain locations

If your business has more than one location, the dialog includes a Locations field. Leave it empty and the resource is available everywhere. Choose one or more locations and it only applies there.

Bookings made without a location still count. An appointment with no location set still consumes a unit of the resource, so it cannot take you over the quantity.

Require a resource on an appointment type

A resource does nothing until an appointment type asks for it.

  1. Open the Appointment Types tab.

  2. Create or edit an appointment type.

  3. In Required resources, choose the resources this appointment needs.

  4. Save.

Each booking of that type reserves one of every resource you select. Repeat for each practitioner's version of the appointment type where you want the same room or equipment shared between them.

The field only appears once a resource exists. If you cannot see Required resources on the appointment type form, add a resource first.

How capacity works across your team

Capacity is counted across the whole practice, not per practitioner. In the example below, two practitioners both use an appointment type that requires the treatment room. Friday 08:00 is free on the first practitioner's booking page.

Once that booking is made, 08:00 no longer appears for the second practitioner. Their diary is free, but the treatment room is not.

Classes and class blocks draw on the same pool as one-to-one appointments, so a class using the treatment room blocks it for everyone else. Cancelling a booking releases the unit straight away, and raising a quantity applies immediately.

Change or remove a resource

Use Edit on the row to rename it, change the quantity, or adjust its locations. Use Delete to remove it.

A resource in use cannot be deleted. If an appointment type still requires it, the delete is refused. Remove it from those appointment types first.

Who can manage resources

Team administrators and sole practitioners can add, edit and delete resources. Team members can see the tab but not change anything.
