Setting Up and Using Global Appointment Types

Learn how to set up these appointment types for your team as the team administrator.

Global Appointment Types help team administrators simplify scheduling by creating standardised appointments for practitioners. Once set up, Global Appointment Types make scheduling easier and help practitioners manage their diaries more efficiently.

What is a Global Appointment Type?

A Global Appointment Type is an appointment that is centrally managed by the team administrator. Once set up, administrators can assign practitioners to use these appointments in their diaries. This standardisation creates consistency, making it easier to manage appointments, pricing, and other key details.

These can be set for all types of appointments including Classes and Class Blocks.

Step-by-Step Guide to Setting Up Global Appointment Types

Step 1: Access the Appointment Settings

  1. Log in to your Rehab Guru account.

  2. Navigate to Account in the top menu.

  3. Select Appointments on the left hand side menu.

Step 2: Add a New Appointment Type

  1. On the Appointment Types page, click the New Appointment Type button.

  2. Fill in the necessary details for the new appointment, such as:

    • Appointment Name: A clear, descriptive name for the appointment type.

    • Price: Set a fixed price for this type of appointment.

    • Lead Time: Define the amount of lead time before an appointment can be scheduled (e.g., 24 hours).

    • Duration: Set how long the appointment will take.

    • Gap: Define the gap between appointments (e.g., 15 minutes) to allow for breaks or buffer time.

    • Set the Assessment Template (Optional): If you want to maintain consistency in assessments related to this appointment type, you can assign a Preferred Template for this Global Appointment Type.

  • Enable the Global Appointment Types toggle to allow all team members to view and use this appointment type.

Step 4: Assign Practitioners to the Appointment Type

In the Add Practitioners section, select the practitioners who will be using this appointment type from the dropdown menu.

Complete a relevant description for the Appointment Type - it is also good practice to set a colour for the appointment which will appear in the diary, to help your team identify the Global Appointment Type slots.

Step 5: Save and Confirm

  1. Click Save to finalise the appointment type.

  2. You should now see your global appointment type listed in the Appointment Types section, with the orange globe icon identifying it as a global appointment.

How Global Appointments Appear for Practitioners

Once the global appointment type is set up:

  • Practitioners will see the appointment type appear under Account>Appointments, ready to be scheduled in their diaries.

  • Global Appointment Types are identified by the orange globe icon.

  • They can be scheduled directly in the diary, as you would any other appointment.

  • The standardised details (price, gap, lead time, duration) will automatically populate, making scheduling easier for everyone.

By following these steps, you can ensure consistency across shared appointments and improve efficiency by reducing the time spent on manual configuration for each practitioner.
