Creating Ad Hoc appointment rules

Learn how to create one-off availability, customise your schedule for specific days, and give clients a clearer and more accurate view of when you’re free.

We’re excited to introduce a major upgrade to your diary management tools: Ad hoc appointment rules and flexible booking windows. These new capabilities give you granular control over your availability - perfect for one-off clinics, temporary schedule changes, and those last-minute gaps you want clients to book into.

What Are Ad Hoc Appointment Rules?

Ad hoc appointment rules let you define exactly when you want to be available without altering your recurring weekly schedule. Instead of editing your standard hours, you can create standalone rules for specific dates or time periods. This makes it easy to:

  • Add a short-term clinic or special session

  • Adjust availability for holidays or personal commitments

  • Open up short-notice appointment windows

These rules work alongside your existing recurring schedule, giving you full flexibility without the risk of accidental conflicts.

How to add Ad-hoc Appointment Rules

Step 1: Accessing the Appointment Settings

  • Navigate to the Account page and select Appointments from the left toolbar.

Step 2: Creating a new Ad-hoc Appointment Rule

  • To create a new appointment rule, click on Appointment Rules.

  • Click on the Add Appointment Hours button.

Step 3: Complete relevant details for the Single Appointment (Ad-hoc) Hours

  • Navigate to the Single tab to create your Ad-hoc appointment rule.

  • Complete relevant details for the single appointment window, including date, time, location(s) where the rule applies, appointment type (or leave blank to allow all appointment types).

  • Select Save Window to save the appointment window.

You will now see the single appointment window under Appointment Rules. You can use the toggle to display only the Single appointment rules.

Instant Updates to Your Booking Page

As soon as you save an ad hoc rule or custom slot, your public booking page updates automatically. Clients only see the availability you actively choose to offer - nothing more, nothing less. This reduces administrative overhead, keeps your schedule clean, and prevents unwanted bookings outside your intended hours.
