Setting up Appointment Hours (Booking and Exceptions)

Learn how to configure clinic hours and manage appointment scheduling, including adding breaks and scheduling exemptions such as holidays.

In Rehab Guru, clinicians can configure their clinic hours, including work hours, breaks, and scheduling exemptions like holidays. This guide will walk you through the process of setting up your clinic hours for booking availability.

Step 1: Accessing the Appointment Rules

  • Navigate to the Account page in Rehab Guru and select Appointments from the left-hand menu.

  • Click on Appointment Rules to begin setting up your clinic hours.

Step 2: Adding Clinic Hours

  • Initially, the Appointment Rules page will be empty. To set your clinic hours, click on the blue Add Appointment Hours button.

  • Select the days you wish to work by clicking on them. The selected days will be highlighted in blue. For example, you can choose Tuesday, Wednesday, and Thursday.

  • Next, set the time range for your clinic hours by entering the start and end times (e.g., 8:00 AM to 6:00 PM). Once the days and times are set, click Add.

  • You can add multiple time slots to factor in breaks. For example, set one block from 8:00 AM to 10:00 AM, and then another from 11:00 AM to 2:00 PM, leaving a break from 10:00 AM to 11:00 AM.

You can create multiple blocks of time to factor in breaks between appointments.

Step 3: Adding Scheduling Exemptions

  • In the third tab, Exemptions, you can add holidays and other dates where you do not want appointments to be scheduled.

  • Click on Add Scheduling Exemption to block out days such as public holidays, bank holidays, or personal holidays.

  • Select the specific days and times you wish to exempt, and then click Add to save the exemption.

Warning: Bank holidays and public holidays are not automatically exempt. Be sure to add these manually if needed.

Step 4: Reviewing Online Booking Links

  • Once your clinic hours and exemptions are configured, you can check the online booking links by navigating to the URLs and Embeds section. This will allow you to verify that clients can only book appointments during your set working hours.
